This Privacy Policy describes how Organic IQ Solutions (“we,” “us,” or “our”) collects, uses, and discloses information, and what choices you have with respect to the information. This policy applies to the SchoolPulse suite of applications, including the SchoolPulse Admin App, SchoolPulse Teacher App, SchoolPulse Parent App, and SchoolPulse Driver App (collectively, the “Services”).

1. Information We Collect

A. Information You Provide to Us

  • Account Information: We collect names, email addresses, phone numbers, and login credentials for school administrators, staff, teachers, drivers, and parents to create and secure accounts.
  • Student Data: Schools may upload student data including names, admission numbers, roll numbers, class/section details, photographs, and academic records.
  • Financial Information: We process fee-related data (invoices, receipts). While we facilitate online payments, we do not store credit card or banking credentials on our servers. All payment processing is handled securely by our payment partner, Razorpay.

B. Information We Collect Automatically

  • Location Data (Background & Foreground):
    • For Staff/Teachers: We collect precise location data when you use the “Check-In” feature to verify attendance within the school premises. This data is collected only when the app is in use.
    • For Drivers (SchoolPulse Driver App): We collect precise location data even when the app is closed or not in use (background location). This is strictly for the purpose of enabling the “Live Bus Tracking” feature, allowing parents and school administrators to track the school bus in real-time for student safety. This data is not used for advertising.
  • Device Information: We collect device identifiers (such as Firebase Cloud Messaging tokens) to send push notifications regarding school announcements, homework, and emergency alerts.
  • Files and Media: The app may request access to your device’s camera or storage to upload student profile photos, homework assignments, or event documents.

2. How We Use Your Information

We use the collected information for the following purposes:

  • Core Functionality: To provide the school management services, including fee collection, attendance tracking, and academic reporting.
  • Safety & Tracking: To track school buses in real-time and provide location updates to parents and administrators.
  • Communication: To send urgent alerts, homework updates, and fee reminders via Push Notifications or WhatsApp.
  • Academic Record Keeping: To generate report cards, certificates, and ID cards.

3. Data Retention and Deletion

We retain data for as long as the school subscribes to our Services.

  • Immediate Deletion: If a school administrator deletes a specific student or staff record from the app, their personal identifiable information (PII) is removed from our live databases immediately.
  • Operational Retention (Soft Delete): Certain operational records, such as historical exam schedules, invigilator duty rosters, and past date sheets, may be retained (“soft deleted”) for audit trails and academic history integrity, even after individual users are removed.

4. Third-Party Services

We may share data with trusted third-party service providers solely to support our Services:

  • Supabase: For secure cloud database hosting and authentication.
  • Razorpay: For processing secure online fee payments.
  • Firebase (Google): For delivering push notifications.
  • OpenStreetMap / Google Maps: For rendering maps and location tracking services.

We do not sell your data to advertisers or third parties.

5. Your Permissions

The app may request the following permissions:

  • Camera/Storage: To upload photos and documents.
  • Location (Fine/Coarse): For attendance geofencing and bus tracking.
  • Notification: To receive school alerts.

You may revoke these permissions at any time in your device settings, but some features (like Live Tracking) will stop functioning.

6. Security

We implement industry-standard security measures, including data encryption in transit (HTTPS) and at rest. We utilize Row Level Security (RLS) to ensure that data is strictly isolated—schools cannot access each other’s data, and parents can only view data related to their own children.

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page.
